Almost every company I’ve worked for or consulted had the same problem with communication. This problem increases communication costs, leads to errors in decisions, and, honestly, irritates employees due to lost time.

The Main Problem

The problem is the lack of complete information in initial messages, presented in a digestible form. Almost any correspondence begins with setting tasks or reporting problems. And it either turns into a call or continues until all inputs are clarified, one after another.

Why Does This Happen?

  1. We always do what’s easier. We save energy used by the brain.
  2. We assume that what we know, everyone else knows too. Except for our brilliant ideas, of course.

Examples of Incorrect Communication

  • Eternal classic: “Hello”
  • Request without details: “We want to make a new service Foo. What DB do you recommend?”
  • Incident report without details: “We have problems with baz.com!”

The Solution

The less the reader needs to do and think, the more likely they are to respond. Provide all necessary data and tools.

I usually solve this by conducting training with examples and implementing a framework like SCR (Situation-Complication-Resolution).

SCR sets a framework:

  1. Situation: Describe the current situation or project context.
  2. Complication: Identify the problem or challenge.
  3. Resolution: Propose a possible solution or actions.
